EXHIBITOR INFORMATION
Date of event: Sunday 14th June 12-7pm
Address: Byron Park, HA3 7PJ, ENTRY VIA PEEL ROAD
1. Arrival & Security
-
Security will be positioned at all entry checkpoints
-
Provide the vendor name the booking was made under for entry
-
Arrive strictly within your allocated time slot - (Food vendors to arrive 9am, non-food vendors to arrive 10.30am, Charity/ Public engagement stalls please arrive for 11am)

Late arrivals will be refused entry, will not receive a pitch, and no refunds will be issued. You are expected to communicate any lateness with the organisers in advance so we can plan ahead.

Upon arrival please wait in the designated holding area until called forward. Do not drive into the pitch area unless instructed.

You will be shown your allocated space by a member of staff. Allocated spaces cannot be changed.

Once you are shown your spot, park your car and offload all stock first and proceed to the designated parking area. DO NOT start to set up as a build of vehicles can slow down vehicle movement of other cars.
*Please arrive at the appointed times outlined above. This allows us to manage vehicle movement more efficiently*
*Any vehicles arriving past 11.00 will not be permitted entry for safety reasons and in compliance with park permissions*
**Please plan journeys ahead and plan for traffic or transport related issues well in advance**
2. Equipment and Floor plan

All stalls are expected to be under a gazebo

Please note if you haven’t booked a gazebo, table or chair you will not be allocated one on the day. The chances of getting equipment on the day is low so please do not leave it last minute and plan ahead

If you have booked equipment with us this will be allocated and set up for you

Floor plan: Floor plans are submitted to our team and the park. Changes will not be made on the day. Please do not delay us by asking to be moved. Our priority is to space you out so similar stalls aren’t together.
3. Parking

Parking is available at both sites, subject to availability.

Only ONE vehicle per vendor is permitted to park onsite.

Any additional vehicles will be asked to leave and find alternative parking.

Security will direct vehicle placement.
-
Once parked, vehicles must remain until event closure.

No early vehicle movement permitted.

All drivers must drive at a maximum of 5mph with hazard lights on at all times onsite
4. Waste disposal, water access and environment
-
Keep stall areas neat and tidy at all times
-
We also advise you please minimise plastic use and try bring paper bags and boxes where possible
-
All vendors will be expected to take their rubbish home with them. Event bins are for public use and for general waste. Anyone seeing disposing large amounts of rubbish will be asked to remove this

Under no circumstance can cooking oil or coal be disposed of on the grass
-
Access to water is not available. We advise you bring your own water supply.
**STRICTLY Due to repeated cases of vendors leaving behind mess we will unfortunately need to ban any repeat offenders. Leaving mess behind creates a bad impression of the entire event and jeopardises future prospects**
All traders are expected to take their rubbish with them. Please bring your own black bags
5. Exhibitor set up

Exhibitors must be fully operational by opening time. All exhibitors must maintain a clean, safe and professional stall.

Exhibitors must operate with their own staff. Event staff will not assist with lifting or unloading.

All exhibitor equipment must remain within allocated space.

Walkways must remain clear to prevent trip hazards

Displays must be professional looking, secure and safe. Any railings or hanging decor must be secured

Burning bakhoor, use of loud music, aggressive selling or disruption is not permitted
-
Children must not be left unattended in vendor areas or any areas of the event
-
6. Exhibitor set down
-
Event time is 12-7pm, Exhibitors are not permitted to set down early under any circumstance, unless discussed with FPE management
-
Set-down begins only when instructed by event staff
-
Exhibitor space must be inspected and signed off by a member of event staff
-
Exhibitors are required to return hire equipment in working condition and London Eid fest t-shirts.

Staff will coordinate the exiting of vehicles off site. Vehicles may only move once the public has fully exited.
7. Behaviour and conduct
Setting up large events is a serious task and requires full compliance from all exhibiting. We as an organisation take this very seriously as any non-compliance has a knock on effect on others and can jeopardise future prospects and good working relationships with our partners.
*There is a Zero-Tolerance Conduct Policy for*:

Aggressive, rude or unprofessional behaviour.

Disrespect towards staff, security, vendors or customers.

Failure to follow safety or operational instructions including reporting lateness, delays or non attendance

Any breach will result in immediate removal and may result in a permanent ban from future events.
