Five Pillar Events Westfield London – Eid Fest 2026
EVENT OPERATIONAL SCHEDULE
The below schedule is in line with requirements laid out by the landlord (Westfield Rise, part of URW).
Changes may occur during the operation and in the case where this incurs we will communicate updates to you.
Stall Setup and Design Guidelines

All vendors are provided with a gazebo, table, chair and a name banner. Equipment will be setup by Five Pillar events.

Any railings, additional table and chairs must be brought in by the vendor.

No flags, political messages, or charity collections (other than Islamic Relief) are permitted at your stall during the event.

Stalls must be neat, professional, and visually appealing at all times.

Red sale signs, handwritten signs, and neon signs are not permitted.

All branding, banners, and promotional materials must be professionally printed and securely displayed.

Vendors are responsible for keeping their stall area clean, tidy, and free from rubbish throughout the event.

Boxes, stock, personal belongings, and packaging materials must be kept out of public view.

Music or amplified sound at stalls is not permitted unless approved by the event organisers.

Vendors must remain within their allocated stall space and must not obstruct walkways or neighbouring stalls.

Subletting or sharing stalls without prior approval from the organisers is not permitted.

All staff working on stalls must conduct themselves professionally and respectfully towards guests, organisers, and neighbouring vendors.

Vendors selling food products must comply with all food hygiene and allergen regulations.

No open flames, candles, incense, or hazardous materials are permitted.

Stall setup must be completed before the event opening time, and dismantling may only begin after the event has officially ended.

Vendors are responsible for any damage caused to the venue, fixtures, or rented equipment.

The organisers reserve the right to request removal of any display, product, or behaviour deemed inappropriate for the event environment
ELECTRICAL & SAFETY REQUIREMENTS
• Electrical items must be unloaded first as priority.
All Food related vendors must be ready for health and safety inspection during event
• All powered equipment must be available for engineer testing immediately
• Any item without valid PAT testing will not be permitted onsite.
• Fire exits and emergency routes must remain clear.
PARKING INFORMATION
• Parking available within Westfield Car Park C near John Lewis
• Height restriction is 2.1 metres
• Larger vehicles must park legally on surrounding roads after unloading
GENERAL REQUIREMENTS
• Stalls must not be left unattended during operational hours.
• Vendors responsible for adequate staffing levels.
• No persons under 16 permitted onsite during setup or breakdown.
• Vendors must comply with instructions from Event Management, Security and Traffic Marshals.

IMPORTANT SETUP INFO
The below timings are for vehicle access only. Please ensure you DO NOT start setting up when your vehicle is on site. Please off load and drive your vehicle out the event area.
• Vehicles must leave immediately after unloading​. If you have heavy loads, bring additional help.
•No vehicles permitted onsite during setup operations
• Hazard lights must remain active during unloading
• Speed limit onsite is strictly 5mph
You may wish to arrive earlier than your allocated time and park in the carpark and carry stock to event space. Car parking at Westfield is £20 (12-16 hours) £25 (16-24 hours). Please let us know if you wish to attend at a time separate to the one listed for you below.
